Administrative Team Lead
Judge Direct Placement
The Judge Group is currently looking for an Administrative Team Lead to oversee the daily administrative operations of a large direct placement staffing firm. The ideal candidate will have a proven administrative/project coordination background within a fast-paced sales environment. This position requires a candidate to effectively prioritize and multi-task assignments while working closely with the organization’s management and sales personnel on a day to day basis.
  • Work closely with management team and sales representatives to ensure smooth day-to-day operations
  • Lead/direct the daily activities of the divisional administrative staff
  • Operations Liaison – communicate and build a strong working relationship with headquarters
  • Distribute daily/weekly/monthly/annual metrics and sales statistics
  • Assist in the development and coordination of monthly sales meetings (collection of sales numbers, development of the PowerPoint presentation, all technical set-up and catering from the appropriate vendor)
  • Manage administrative duties for office without a local administrative assistant personnel
  • Assist in the management of all marketing programs
  • Creation/distribution of all daily/weekly reporting (job order, interview and sales reports)
  • Assist in the tracking and verification of all sales related operations
  • Assist in the management of sales processing, sales verification and client procurement/collections
  • Manage, track and update sales personnel’s incentive programs
  • Managing, updating and running reports to ensure accurate sales reporting
  • Assist in the development of all Phase/Yearly Manager Plans and coordinate with HR on any compensation changes
  • Distribution of plan vs actuals ratio sheets and all other sales comparison spreadsheet
  • Assist with new hire onboarding paperwork
  • Coding Invoicing
Secondary Responsibilities
  • Assist in the formatting of resumes & data entry
  • Order office supplies and maintain Office appearance
  • Work with IT, Accounting, HR and Facilities departments on any office related issues
  • Creation and upkeep of organizational charts and distribution lists
  • Assist in the development, scheduling and coordination of division run meetings/events/special occasions
  • 3+ years working in an administrative lead, project/sales coordinator or executive assistant role strongly preferred
  • Bachelor’s degree - preferred
  • Strong background in the Microsoft Office Suite (Excel, Outlook, Word, PowerPoint)
  • Experience in a multi-faceted administrative/project coordination position
  • Experience leading/managing a team
  • The ability to multi-task and effectively prioritizes duties in a fast-paced work environment
